This Payment Policy explains how deposits, invoices, milestones, subscriptions, refunds and late-payment rules work when you buy services from PHX-STUDIO (“we”, “us”, “our”).
It applies alongside your written quote, proposal or order confirmation and the relevant division policy (Websites, Spreadsheets, iOS Apps, Portals, RSVP or Fos Mou). If a signed proposal states different payment terms, that proposal prevails for that project.

Prices are in GBP unless we agree otherwise in writing.
Quotes are valid for the period stated on the proposal (or 14 days if no period is stated) and may change after that if costs or scope change.
VAT will be added if and when we are VAT-registered and required to charge it. Invoices will show any VAT clearly.
Unless your proposal says otherwise, typical payment structures are as follows. Exact amounts and stages are always those in your quote.
Invoices are due within 14 days unless stated otherwise on the invoice or proposal.
Monthly maintenance, hosting or platform fees are payable in advance for each period.
You must provide accurate billing details. Payment is not complete until funds clear in our account.
We accept payment by bank transfer and by such card or online processors as we notify you (for example Stripe or PayPal).
Processor fees charged by your bank or card provider are your responsibility unless we agree otherwise in writing.
Never send passwords or full card details by email. Use only the official payment links or bank details we provide.
Late payment by business clients may attract statutory interest and fixed sums under the Late Payment of Commercial Debts (Interest) Act 1998, plus reasonable recovery costs.
We will usually send a reminder before taking further steps. If an invoice is disputed in good faith, tell us promptly in writing so we can resolve it.
After notice, we may pause work, withhold launch credentials or source handover, or suspend maintenance, hosting, portal access or updates for overdue undisputed invoices.
For portals and apps, non-payment may suspend the service and withhold repository or admin handover until settled.
Export or handover on cancellation may incur a reasonable admin fee where stated in your proposal or the relevant division policy.
Deposits are generally non-refundable once substantive work has started, except where required by law or where we cancel without cause.
Bespoke digital deliverables (websites, spreadsheets, apps, portals, RSVP pages, memorial pages) are generally non-refundable after delivery of the agreed scope, except where required by law or if we fail to deliver that scope.
Customised Fos Mou physical goods are generally non-refundable once production has started, except where faulty or required by law. Faulty products reported within 14 days of delivery with evidence will be replaced.
If you cancel a project before completion, you remain responsible for work already performed and third-party costs we have committed to at your request, as set out in your proposal.
If you are a consumer (not buying mainly for business), nothing in these terms removes your statutory rights under the Consumer Rights Act 2015. Services must be provided with reasonable care and skill and as described.
Distance contracts may include a 14-day cancellation right. If you ask us to start within that period you may need to pay for work already performed, and the right may be lost once the service is fully performed at your request.
Monthly maintenance, hosting or platform fees are payable in advance for each period. Failure to pay may suspend the related service after notice.
Maintenance plans cover the agreed scope only—not rebuilds, new features, store fees, paid SDKs, or third-party API charges unless included in your plan.
Emergency work outside plan hours may be chargeable.
Domains, hosting, Apple Developer / App Store fees, paid SDKs, fonts, stock assets and similar third-party charges are extra unless your quote says they are included.
Those providers set their own prices and terms. We are not responsible for their fee changes, outages or policy changes.
