Applies to client portal / booking / manager / employee area systems (Bronze / Silver / Gold).

• Booking systems, manager/client/employee areas as per package
• Rota, finance, invoice or communication modules where included
• Theme customisation and integrations as add-ons
• Hosting environment as agreed (our infrastructure or yours)

• You must appoint an admin user and manage staff access responsibly.
• You must not use the portal for unlawful content, spam, or infringement.
• You are responsible for password policies and promptly removing leavers’ access.
• We may suspend access to protect systems against abuse, malware or non-payment.

• You are the controller of personal data entered into the portal (clients, staff, bookings).
• PHX-STUDIO acts as processor when we host or support the portal, processing data only on documented instructions (this policy + your project agreement).
• You must have a lawful basis to upload personal data and provide privacy information to data subjects.
• A separate Data Processing Agreement (DPA) can be signed on request for higher-volume processing.

• We aim for reasonable availability but do not guarantee 100% uptime.
• Scheduled maintenance may occur with notice where practicable.
• Backup frequency depends on the hosting plan. Restore requests may be chargeable.

• Project fees as quoted (deposit/milestones).
• Monthly platform/maintenance fees in advance; failure to pay may suspend the portal after notice.
• Export/handover on cancellation may incur a reasonable admin fee.

On termination, subject to cleared invoices, we will provide a reasonable export of your data in a common format where technically feasible within 30 days, then delete or anonymise remaining personal data from live systems except where retention is required by law or disputes.

As per Websites 2.11 and 2.13. We are not liable for losses from credentials you share insecurely or from decisions made using portal data.
